Refund & Cancellation Policy

Our policies regarding refunds, cancellations, and payment disputes

1. Overview

This Refund & Cancellation Policy outlines the terms and conditions under which Association for Professional Excellence ("we," "us," or "our") provides refunds for our certification assessments and related services. We are committed to ensuring fair and transparent refund practices.

Important: As our services are digital in nature (online assessments and certifications), refund eligibility is subject to specific conditions outlined below.

2. Payment Methods & Processing

2.1 Accepted Payment Methods

We accept payments through Razorpay, which supports:

Credit/Debit Cards

Visa, Mastercard, Rupay, American Express, Diners Club

Net Banking

All major Indian banks supported

UPI

Google Pay, PhonePe, Paytm, BHIM, and other UPI apps

Wallets

Paytm, Mobikwik, Freecharge, and other digital wallets

EMI Options

Available on select credit cards for eligible purchases

International Cards

International Visa, Mastercard accepted

2.2 Payment Security

All payments are processed securely through Razorpay's PCI DSS compliant payment gateway. We do not store your complete card details on our servers. Your payment information is encrypted and transmitted securely.

3. Refund Eligibility

3.1 Eligible for Full Refund

You are eligible for a full refund in the following cases:

Technical Issues on Our End

If you were unable to complete an assessment due to technical problems with our platform that are verified by our support team.

Duplicate Payment

If you were charged multiple times for the same service due to a payment processing error.

Cancellation Before Assessment Start

If you cancel your purchase within 24 hours and before starting the assessment.

Service Not Available

If we are unable to provide the purchased service due to discontinuation or unavailability.

3.2 Eligible for Partial Refund

Partial refunds may be provided in these situations:

Cancellation Within 7 Days (Assessment Not Started)

75% refund if cancelled within 7 days of purchase and assessment has not been started.

Subscription Downgrade

Pro-rata refund for unused portion when downgrading from a higher subscription tier.

3.3 Not Eligible for Refund

Refunds will not be provided in the following cases:

Assessment Started or Completed

Once you have started or completed an assessment, no refund is available.

Failed Assessment

Refunds are not provided if you did not achieve the passing score.

Violation of Terms

If your access was terminated due to violation of our Terms of Service or Code of Conduct.

Change of Mind After Assessment Start

Simply changing your mind after accessing assessment content does not qualify for a refund.

User-Side Technical Issues

Technical problems on your device, internet connection, or browser are not eligible for refund.

Request After 14 Days

Refund requests submitted more than 14 days after purchase will not be considered.

4. Subscription Refunds

4.1 Monthly Subscriptions

  • Monthly subscriptions can be cancelled at any time through your account settings
  • Cancellation takes effect at the end of the current billing period
  • No partial refunds are provided for the remaining days of the current billing cycle
  • You retain access to subscription benefits until the end of the paid period

4.2 Annual Subscriptions

  • Annual subscriptions can be cancelled within 7 days of purchase for a full refund (if no assessments taken)
  • After 7 days, pro-rata refunds may be available if less than 25% of the subscription period has elapsed and no assessments have been taken
  • No refunds after 90 days from purchase date
  • Refund amounts are calculated based on unused months, not days

4.3 Auto-Renewal

Auto-Renewal Notice: Subscriptions automatically renew unless cancelled at least 24 hours before the renewal date. If charged for an unwanted renewal, contact us within 48 hours for a refund consideration.

5. Refund Request Process

5.1 How to Request a Refund

Submit Request

Email us at refunds@profxcel.org with your order details and reason for refund.

Provide Information

Include your registered email, order ID/transaction ID, and a detailed explanation of your refund request.

Review Process

Our team will review your request within 3-5 business days and may contact you for additional information.

Decision & Processing

You will be notified of the decision. If approved, the refund will be initiated within 7 business days.

5.2 Required Information

Please include the following in your refund request:

  • Full Name: As registered on your account
  • Email Address: Your registered email
  • Order ID/Transaction ID: Found in your payment confirmation email
  • Date of Purchase: When the payment was made
  • Amount Paid: The transaction amount
  • Reason for Refund: Detailed explanation
  • Supporting Documents: Screenshots or evidence if applicable (e.g., for technical issues)

6. Refund Timeline & Methods

6.2 Refund Method

Refunds are processed to the original payment method used for the purchase:

  • Credit/Debit Cards: Refund credited to the same card (5-10 business days)
  • Net Banking: Refund credited to the source bank account (5-7 business days)
  • UPI: Refund credited to the linked bank account (3-5 business days)
  • Wallets: Refund credited to the same wallet (1-3 business days)

Note: Refund processing times may vary depending on your bank or payment provider. If you haven't received your refund within the expected timeframe, please check with your bank first, then contact us.

7. Cancellation Policy

7.1 Cancelling a Purchase

  • You may cancel a purchase before starting the assessment by contacting our support team
  • Cancellation requests should be made within 24 hours of purchase for a full refund
  • After 24 hours, standard refund eligibility criteria apply

7.2 Cancelling a Subscription

To cancel your subscription:

  1. Log in to your account
  2. Go to Settings → Subscriptions
  3. Click "Cancel Subscription"
  4. Confirm your cancellation

You will receive a confirmation email. Your access continues until the end of the current billing period.

7.3 Account Deletion

Deleting your account does not automatically cancel active subscriptions or entitle you to a refund. Please cancel any active subscriptions before requesting account deletion.

8. Payment Disputes & Chargebacks

8.1 Dispute Resolution

If you have a concern about a charge, please contact us first before initiating a dispute with your bank or card issuer. We are committed to resolving issues fairly and promptly.

8.2 Chargebacks

Important: Filing a chargeback without first attempting to resolve the issue with us may result in immediate suspension of your account and revocation of any issued certifications, pending investigation.

We reserve the right to dispute illegitimate chargebacks and may pursue recovery of associated fees and costs. Fraudulent chargebacks may also be reported to relevant authorities.

8.3 Failed Transactions

If a payment fails but the amount is debited from your account, it is typically auto-reversed within 5-7 business days. If not reversed, please contact us with your transaction details.

9. Special Circumstances

9.1 Medical or Emergency Situations

We understand that unexpected circumstances can arise. If you are unable to take an assessment due to a documented medical emergency or other extraordinary circumstances, please contact us. We will review such cases individually and may offer:

  • Extension of assessment validity period
  • Rescheduling of the assessment
  • Partial or full refund (on a case-by-case basis)

Supporting documentation may be required.

9.2 Technical Issues

If you experience technical issues during an assessment:

  • Document the issue with screenshots or screen recordings if possible
  • Contact our support team immediately at support@profxcel.org
  • Do not close the browser or navigate away if possible
  • Our technical team will investigate and determine appropriate resolution

9.3 Promotional Purchases

  • Refunds for discounted or promotional purchases will be for the amount actually paid
  • Free trials that convert to paid subscriptions follow standard subscription refund policies
  • Bundle purchases may have separate refund terms specified at the time of purchase

10. Currency & International Payments

10.1 Currency

All prices are displayed in Indian Rupees (INR). For international transactions, your card issuer will convert the amount to your local currency at their prevailing exchange rate.

10.2 International Refunds

  • Refunds are processed in the original transaction currency (INR)
  • Exchange rate fluctuations may affect the refunded amount in your local currency
  • We are not responsible for any difference due to exchange rate changes
  • International refunds may take longer (up to 30 days) due to cross-border processing

11. Policy Modifications

We reserve the right to modify this Refund & Cancellation Policy at any time. Changes will be effective immediately upon posting on this page with an updated "Last Updated" date.

Refund requests will be governed by the policy in effect at the time of the original purchase, unless the new policy is more favorable to the customer.
